HOURS Our office hours are 7:30am-5:00pm Monday-Friday (also open weekends during peak season). Deliveries and tent set-up / takedown required before or after the hours stated will be subject to additional charges.
RATES Tent item rates quoted are for a 7 day period on location and include set-up and take-down. A 10% per day additional fee is charged after the 7 day period.
Tables, Chairs, Stages, etc. pricing is quoted "Tail Gate" delivered and is for a 4 day period. An additional full rental rate is charged for each 1-4 days thereafter. Labor for set-up and takedown is extra for all items except tents. Please contact us for pricing on labor.
DELIVERY AND PICK-UP Delivery charges are based on mileage from our central location on the near south side of downtown Indianapolis. This cost is based on American Tent & Awning's crew being able to begin set up or (in the case of tables and chairs) delivery within 15 minutes of arrival at a prearranged location. For example, parking lots must be free of all parked cars in the area that the work is to be done before the crew arrives. A delay of crew charge will be assessed based on the labor cost per 15 minutes thereafter.
CHANGES Changes to your order may be made up until 7:45am on the day of delivery. Changes after delivery will be charged rental adjustment, restocking and additional delivery fees. Cancellation of items may be made 15 days prior to the delivery date for a full refund. Cancellation in less than 15 days will result in a one-third charge of the total contract charges. PLEASE NOTE: After a tent has been placed as instructed by the Renter, or the Renter's representative, and a decision is made to move the tent, additional charges will be assessed based on labor time to move the tent.
SALES TAX All rental items are subject to a 7% Indiana Sales Tax. The exception to this law is when the renter provides American Tent and Awning Co. with a copy of an Indiana Sales Tax Exempt Certificate in the name of the corporation, business, church or service organization shown on the contract. We must keep a copy of the certificate in our records for tax purposes.
PAYMENT To save you money - All Payments Must Be Made in U.S. Currency or check ONLY. Payments of rented items and services must be made in full prior to the renter taking possession of the items on the contract. A deposit of one-third of the contract total at the time of order confirmation will be required to reserve inventory items (see 'CHANGES' above regarding refunds). Exceptions to this will be made to Corporations, Business', Churches and Established Service Organizations with prior approval.
SAFETY Safety is our #1 priority. Should your event be hit by high winds, lightning, hail or the like; evacuate everyone immediately. Your Tent will be erected to withstand winds of up to 60mph however, tornado or wind shears can destroy virtually anything, and lightning is attracted to tall structures. Heavy rain can soften the ground the stakes are in and, combined with high winds, the anchoring of the structure can be compromised , IF IN DOUBT GET OUT! CAUTION : Never move or remove any stake, pole, or tension rope from where the installation crew has placed it. This can cause serious problems with structural integrity. RESPONSIBILITIES American Tent and Awning Co. Inc. hereby states that all tents and canopies (temporary structures) will be erected and anchored down to the safety standards of the IFAI Tent Rental Division Procedures and /or the Indiana State Fire Marshal Office Code whichever is more stringent. We reserve the right to not erect any temporary structure when the renter or other involved party requests any type of anchoring or structural part be moved or removed that may jeopardize the safety of you, your guests, or the general public. We have been doing this for a long time and have seen the consequences of such actions. Should a storm do something to the structure prior to your event, after we erect it, we will take measures to rectify the situation and make it safe again, just contact us.
The renter is responsible for providing and securing the tent location and any permits that may be required. The renter is also responsible for any utilities, public or private, including but not limited to: electric, gas, phone, cable TV, water, septic, drainage, sprinkler systems, etc. located above or below the tent area. Indiana State Law IC-8-26 requires 2 full working days (Sat and Sun not included) notice to the Indiana Underground Utilities Locator at 1-800-382-5544. You will need to know the locations County, Township, Main Cross Streets, Address, and a Contact Person's name and Phone number. THIS SERVICE IS FREE--THE REPAIRS ARE NOT! American Tent and Awning Co. Inc. WILL NOT be responsible for ANY underground damage. The renter is also responsible for the safety and security of all rental items while on the site of their event.
